UCaaS / Business Phone Systems
Cloud-based phone, video, and team messaging. Replaces on-premise PBX systems with a subscription you can scale instantly.
What it is
Unified Communications as a Service consolidates business voice, video meetings, team chat, SMS, and contact center features into a single cloud platform. Your phones (desk or softphone) connect over the internet to the provider's cloud, eliminating the need for on-premise PBX hardware.
How it works
Each user gets a license that includes a phone number, voicemail, call routing, and access to mobile/desktop apps. Calls route through the UCaaS provider's network, then to the public phone network (PSTN). Existing numbers can be ported in. Setup is typically 1-3 weeks for a small office, longer for complex call flows.
Best for
- ✓ Businesses replacing aging PBX hardware
- ✓ Hybrid/remote teams that need consistent calling experience anywhere
- ✓ Multi-location operations consolidating onto one platform
- ✓ Companies wanting integrated voice + video + chat (vs separate tools)
- ✓ Organizations that need rapid scaling (seasonal hiring, etc.)
Not ideal for
- ✗ Businesses with extremely poor internet connectivity (need DIA fiber for quality)
- ✗ Use cases requiring deep PSTN customization that cloud platforms can't match
- ✗ Cost-only optimization where bare-bones SIP trunking would suffice
Pricing
Channel pricing typically beats direct retail. Per-user models include unlimited US/Canada calling, video meetings, mobile apps. Add-ons: international calling, dedicated numbers, call center features.

FAQ
Do I need to replace my desk phones?
Not necessarily. Most modern IP phones (Polycom, Yealink, Cisco) work with major UCaaS platforms. We can quote with phone hardware bundled or BYOD.
What happens if my internet goes down?
This is why voice continuity matters. Most UCaaS platforms automatically forward to mobile devices when the office connection fails. Some businesses also keep a small POTS line or LTE failover for critical incoming calls.
Can I keep my existing phone numbers?
Yes — local number portability (LNP) is standard. Porting takes 5-15 business days typically and is included in setup at most providers.
Microsoft Teams Phone vs RingCentral vs 8x8 — which is best?
Depends on your stack. Already in Microsoft 365? Teams Phone integrates seamlessly. Want the deepest call center features? 8x8 or Five9. Want something that's been the easiest to use for the longest? RingCentral. We can compare for your specific situation.
